From an employer standpoint: any company that desires to enable their employees to record how they use their work time and efficiently manage their projects. Information on the number of hours worked may be applied in numerous situations, such as invoicing, personnel planning, logistics, etc.

How much will I save by using ExcelTimeSheet, vs an online solution?

ExcelTimeSheet is cost-effective due to its one-time, fixed price. Compared to a web-based time-tracking solution with a monthly compensation of, say USD 10 per user, a company with 40 employees will save a total of USD 4,800 each year, amounting to USD 48,000 over a 10-year period. The license for Microsoft Excel is not included in this comparison as it’s assumed that MS Office is already a part of the company’s budget. Alternatively, one might use Google Sheets, which is free.

The biggest saving in using ExcelTimeSheet however comes from increased effectiveness among its users. ExcelTimeSheet is a comprehensive, well-designed work management tool. Employees will not only fill out this timesheet because they are obliged to do so. It is designed to be enjoyable to use by offering a convenient interface with details users appreciate, such as an automated calendar with customizable holidays and red days. ExcelTimeSheet further gives you the ability to operate full-time or part-time with a varying number of regular hours per day. It provides personalized comments and displays the number of remaining vacation days. ExcelTimeSheet gives users the freedom to either name their projects as they prefer or conform to the company’s convention. It allows for the filing of overtime and the calculation of extra time and has numerous other settings and options.

When can I download the Excel file and will I get a receipt?

You may download ExcelTimeSheet immediately after payment, and you will receive a receipt by email.

ExcelTimeSheet seems to have many bells and whistles. Will they screw the sheet up?

We have protected ExcelTimeSheet thoroughly against inaccurate input data and errors by:

– formatting every cell correctly.
– adding content descriptions that show up when the user selects individual cells.
– including error flags that appear when the user enters invalid data.
– adding error notifications that pop up if the user accidentally changes cells in hindsight.
– locking cells that the user is not supposed to edit.
– protecting individual worksheets against non-intended changes.
– protecting the workbook against structural alterations.

Furthermore, we have received extensive feedback on functionality, formulas, and auto-formatting since the year 2000, contributing to ExcelTimeSheet being predictable and robust.

Is ExcelTimeSheet effective?

In ExcelTimeSheet, you only need to enter a minimum amount of information. Auto-calculations continually optimize the user experience. Due to its condensed monthly panels, we believe ExcelTimeSheet is easier to operate than any online editing solution, as you don’t need to log in anywhere or click your way through countless sub-menus.

You may store the timesheet on a cloud server such as OneDrive or Google Drive and edit it simultaneously from various devices. This provides great flexibility in using the sheet.

Of course, if you don’t use a WiFi signal, you may still operate the worksheet if you have it stored locally. ExcelTimeSheet is a good option to consider for companies that for various security reasons can’t put their data on a remote server.

How can I follow up with my employees using ExcelTimeSheet?

If your employees fill out their own copies of ExcelTimeSheet, and you would like to check them, there are many alternatives.

A good alternative could be to let your employees store their timesheets in a shared folder to which you have access. You may then check those sheets whenever you want. Since the employees won’t have access to each other’s worksheets, you will be the only person who can see all of them. You could also create a ‘super-sheet’ that looks up the relevant information automatically, to create invoices, reports on project progress, or similar.

Another option would be to let your employees email their timesheets to you periodically, for instance, weekly or monthly, either in MS Excel format or as a PDF file.

A third alternative could be to let your employees print out their sheets and deliver them to you on paper for approval. That is somewhat old-fashioned these days, but it is still an option.

It all depends on what your needs are—whether to document or archive project progress, enable your people to be effective and innovative, oversee staff attendance, or just use the reported data for operational and administrative management.

Can I use ExcelTimeSheet in accounting?

ExcelTimeSheet can be used in accounting.

We have intentionally chosen to not include any economic calculations in ExcelTimeSheet. Each company and country may have procedures for the derivation of revenue, expenses, profit, tax, etc. For instance, compensation could be hourly or project-based, invoicing periodicity could be weekly or monthly, and so on.

You may perform economic analyses in the sheet entitled ‘Appendix’, or in a separate workbook by importing information from ExcelTimeSheet. We leave this up to the user. You may extract data from ExcelTimeSheet to create for instance invoices and financial statements.

ExcelTimeSheet splits work time into categories of regular time, overtime, and extra time. Summations of these figures, and others, are presented monthly and annually for each project. If you prefer a weekly interval, you may access the week numbers from above the dateline within each sheet, or calculate it from the date itself.

If my company has a flexible worktime policy, can ExcelTimeSheet handle that?

Yes, ExcelTimeSheet is suitable to handle four different aspects of flexible work time:

1. In ExcelTimeSheet you may log up to three clock-in intervals per day. For instance, you may arrive at the office by 07:45 in the morning, then leave for lunch at 11:15 am and return by 12:00, then leave for a dentist appointment at 02:05 pm and return to the office by 03:30, and then finally leave home by 05:20 pm.

2. ExcelTimeSheet has an option entitled ‘Flexible Time from extra Time’. If this option is turned on, each hour of extra work contributes to the accrued balance of flexible work time. This is time that the employee can take ‘off in lieu’ in the future. (If the company does not offer such flexitime, the user can turn this option off.)

3. The number of regular work hours per day can be set to five different user-specified values, for instance, 0 hours, 4 hours, 6 hours, 8 hours, or 10 hours. As an example, you may specify 8 hours of regular time from Monday to Wednesday, 5 hours from Thursday to Friday, and 9 hours on Saturday. This option can be useful for personnel with varying weekly schedules.

4. In ExcelTimeSheet you can specify a ‘core period’ during which employees are required to be present at work from Monday to Friday. For instance, the core period could be from 09:00 am to 03:00 pm each day.

What are the software and hardware requirements for running ExcelTimeSheet?

You must use either Microsoft Excel or Google Sheets to edit the timesheet. We have built ExcelTimeSheet in the latest version of Excel with back-compatibility to Excel 2010.

ExcelTimeSheet works on both PC and Mac (*), and you can edit the timesheet on a tablet, iPad, or smartphone/iPhone.

(*) We put a high priority on QC to ensure that the worksheet operates smoothly in both Windows and macOS.

Does the timesheet contain macros?

ExcelTimeSheet is available in two editions: a macro-activated edition (which is called a ‘VBA enabled’ edition), and a macro-deactivated edition (‘VBA disabled’). If you plan to edit the Excel file on a phone, tablet/pad, or in the web browser, you should choose the macro-deactivated edition since those Excel applications do not support VBA. If you run Excel on a computer, you may choose whichever edition you prefer.

The intention of macros in ExcelTimeSheet is to drive push buttons. In ExcelTimeSheet there is a worksheet for each month. These worksheets contain push buttons that filter the list of projects. Whenever you add a new project in the sheet entitled ‘Projects’, you will need to go to the current month and press this push button. In the ‘Settings’ sheet, there is also a button that deletes all user input data from the monthly worksheets. When you reach December 31st, you may simply press this button to prepare the worksheet for next year. The dates and formatting will then update automatically according to the next year.

If you use the macro-free edition of the file, you may still perform the pushbutton operations manually. See the ReadMe-file for an explanation of this
